One of the most common misconceptions we hear is: "It's in Microsoft 365, so it's already backed up."

Unfortunately, that's not strictly true.

What Microsoft actually provides

Microsoft provides resilience and availability, but long-term, point-in-time backups aren't designed to fully protect you from accidental deletion, ransomware or user error.

If a file or mailbox is deleted and not noticed for weeks, it may be permanently gone. If ransomware encrypts SharePoint or OneDrive files, those encrypted versions can sync everywhere. If a user leaves and their account is removed, their data may disappear with it.

Microsoft's responsibility is keeping the platform running. Protecting your data is still your responsibility.

What a dedicated backup does

A proper Microsoft 365 backup takes independent copies of your email, OneDrive, SharePoint and Teams data and stores them securely outside of Microsoft. This allows you to restore anything quickly — whether it's a single email, an entire mailbox or a whole site.

Think of it as an insurance policy.

Most restores take minutes rather than hours. There's no reliance on Microsoft retention windows. And you're protected against the scenarios that cause the most disruption in real life: mistakes and cyber attacks.

Backups also help with compliance and leavers. You can retain data indefinitely without paying for unused licences just to keep old mailboxes alive.

For such a small monthly cost per user, the protection is significant.
