There's no server to buy. No infrastructure to manage. Just a clean, cloud-based setup your team can access from anywhere, on any device.
Business Basic is often the right starting point for early-stage companies. It provides online versions of email, Teams, OneDrive and SharePoint. If you need desktop Office apps installed locally, Business Standard adds those. And when you're ready for stronger device management and security controls, Business Premium brings those in without needing separate tooling.
You're not locked in. Licences can be added, changed or removed as your team grows.
Choosing the right devices
You don't need to spend a fortune. But you do need to buy sensibly.
For Windows laptops, a mid-range business device from Dell, HP or Lenovo will serve you far better than a cheap consumer machine. Business-grade hardware has better build quality, longer support lifecycles and drivers that actually work reliably. Avoid home-tier laptops — they're typically slower, less durable, and can't be managed in an organisational setting.
Think about longevity. A slightly more expensive device that lasts five years is significantly better value than a cheap one you're replacing in two. Factor in the time lost to slow, unreliable hardware too — that has a real cost.
For mobile devices, iPhones and modern Android handsets both work well with Microsoft 365 out of the box. Either is fine — consistency within your team makes management simpler.
Get security right from the start
One of the most common mistakes new businesses make is treating security as something to worry about later. It's almost always more expensive to fix after the fact.
A few simple steps at the start go a long way:
- Multi-factor authentication (MFA) on every account. Non-negotiable. Turn it on from day one. It blocks the vast majority of account takeover attempts.
- A business password manager. Gives everyone unique, strong passwords without the sticky notes, shared spreadsheets or forgotten logins. Inexpensive and immediately effective.
- A backup for your Microsoft 365 data. Most startups assume the cloud handles this automatically — it doesn't protect you from accidental deletion, ransomware or leavers taking data with them. A small monthly cost for real peace of mind.
- Encrypted devices. If a laptop is lost or stolen, encryption means your data stays protected. On Windows this is BitLocker; on Mac it's FileVault. Both are built in — they just need to be turned on and managed.
None of this is complex. It's just about doing it properly from the beginning rather than bolting it on later.
